This policy was prepared for the website launch. HBXpress should review it, and take legal advice if it wishes, before the site goes live. Items still to be confirmed are marked in the grey boxes.
Who we are
HBXpress Group Pty Ltd (“HBXpress”, “we”, “us”) operates this website. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles. You can contact us about privacy at info@hbxpress.au, on 0450 844 428, or by post at 7 Gramercy Pl, Strathtulloh VIC 3338.
What we collect
Quote requests. Your name, company (optional), email address and phone number; pick-up and delivery locations and dates; the freight type, weight, dimensions, number of items, equipment and service type, any special handling and notes; and an optional attachment you choose to upload. We also record the time you agreed to this policy, your IP address and your browser’s user-agent text.
Job applications. Your name, phone number and email address; the position you are interested in; your licence class, years of experience, availability and right to work in Australia; any other licences or certifications, references and cover letter you provide; and your resume. We also record the time you agreed to this policy and your IP address.
Information we do not want. Please do not send identity documents, payment or bank details, health information or other sensitive information through these forms. Please obtain a referee’s permission before giving us their details.
Technical records. To block spam and abuse we keep short-lived records linked to your IP address (for example, how many forms came from one address in a short period). Our web host also keeps standard server logs.
Why we collect it and how we use it
We use quote information to review your request, plan transport, contact you and send you a confirmation email with a copy of what you submitted. We use application information to assess your application and contact you about it. We use technical records to keep the website secure and to detect automated or abusive use. We do not use your details for marketing, we do not send newsletters, and we do not sell personal information.
The forms ask you to tick a consent box. You do not have to give us your information, but we cannot respond to a quote request or consider an application without it.
Who can see it
Your information can be viewed by authorised HBXpress personnel through a password-protected administration area. It is also handled by the service providers we rely on to run the website: our web hosting and database provider and our email service. Emails we send to you are delivered to your own email provider, which we do not control.
HBXpress to confirm the hosting and email providers, the countries where data is stored, and any disclosure outside Australia.
We may also disclose information where the law requires or allows it.
How we protect it
The website uses an encrypted (HTTPS) connection. Submitted information is stored in a database that is not publicly accessible. Uploaded files are kept in a private folder and can only be opened by signed-in administrators. Administrator passwords are stored in hashed form, and sign-in attempts are limited. No system is completely secure, so we cannot guarantee absolute security.
How long we keep it
We keep quote requests, attachments, applications and resumes only for as long as we need them for the purposes above or as the law requires, and we then delete or de-identify them.
HBXpress to confirm how long quote requests, attachments, successful and unsuccessful applications and resumes are kept.
Cookies and browser storage
When you open a page with a form (Get a Quote or Careers) the website sets one small session cookie, hbx_session. It is needed for security (to protect forms from forgery) and to show you a confirmation or error message. It contains no personal details, it is not used for tracking or advertising, and it ends when you close your browser. Staff who sign in to the administration area use the same cookie. Your browser may also remember, for the length of a visit, that the opening animation on the home page has played; this holds no personal information. We do not use analytics or advertising trackers. If that changes, we will update this policy first.
Access, correction and complaints
You can ask to see the personal information we hold about you, ask us to correct it, or ask us to delete it, by contacting us using the details above. We may need to confirm your identity first, and we may keep information we are required to keep. If you are unhappy with how we have handled your information, please tell us so we can respond. You can also contact the Office of the Australian Information Commissioner at oaic.gov.au.
Changes to this policy
We will update this page when our practices change and will show the date of the latest update at the top.
